Project and staff activity records
The work portal can hold project and task names, assignments, stage changes, plans, deliverables, evidence documents and completion certificates. Staff activity reports can include completed work, assessed points, management review comments, approval history and HR payment-status references.
These records support delivery, review and administration by authorised staff. An HR status is an administrative record; the portal does not make a bank payment. Keep unrelated employee and client information out of supporting documents.
AI assistance and context
Customer assistant messages and submitted conversation history are sent to the configured Microsoft Azure OpenAI service. When you are signed in, the assistant can also receive your name, email and selected active-ticket titles, numbers and statuses. Relevant knowledge content is included to help answer the question.
Staff AI tools can process ticket descriptions and conversations to prepare replies or summaries. AI output can contain mistakes. Do not include passwords, recovery codes, financial account details or unnecessary sensitive personal information in a prompt.
This notice does not promise a particular AI-provider retention period, training restriction or processing region. Contact us if your organisation requires documented provider settings or a restriction on AI use for its support records.
Connected services and access
Noetica support staff process records to handle Interstellar requests and administer the portal. Management and HR access depends on the role and permissions required for each workflow. Infrastructure and integration providers process information needed for the features they deliver.
- Microsoft Azure: hosting, database and configured AI services; Azure Communication Services handles configured calling and agent-controlled audio recording through a dedicated client service.
- Microsoft identity and mail services: configured Microsoft sign-in and support-mail delivery or ingestion. A configured SMTP email service can handle account-recovery messages.
- Google: Google sign-in, when configured and enabled for this portal.
- LiveKit and remote tools: session connectivity and media when the configured remote-support feature is used.
The providers and regions involved can vary by deployment and feature. Some processing may occur outside your country. Ask for the current service-provider and transfer details applicable to your organisation before submitting data with specific residency requirements.
Remote sessions and recordings
Screen sharing exposes the contents of the area you select. Close sensitive documents and confirm the agent's identity before starting. Remote-session records can include the ticket, participants, access code, timestamps and session state.
An agent may ask to record call audio to document the support discussion and resolution. The agent must explain the purpose, inform everyone on the call and obtain permission before starting. Recording is optional; tell the agent if you do not agree or want recording stopped. Audio is stored privately and accessible only to authorised support staff with the relevant case access, or authorised management. Portal audio access expires 90 days after recording begins and a scheduled worker deletes the expired files. Consent confirmations, lifecycle events and access logs remain as audit records; infrastructure backup retention is handled separately.
End sharing when the work is complete. Inform the support team if unrelated information was exposed during a session so it can assess the next step.
Cookies and browser storage
Sign-in cookies maintain your session and support authentication checks. The portal also stores theme and language preferences in your browser. Clearing these preferences resets them; clearing sign-in cookies signs you out.
Connected identity providers and external resources may process network and request information under their own notices. The company website's optional analytics controls are not a portal consent control. No equivalent analytics preference is claimed on this page.
You can manage cookies and site data through your browser settings. Blocking required sign-in storage may prevent authenticated pages from working.
Storage and retention
Portal records, attachments, email copies and backups can have different storage arrangements. Closing or archiving a ticket changes its workflow state; it does not automatically delete the record.
A portal-wide retention and deletion schedule has not been confirmed for this draft. Do not assume that records expire after a fixed number of days. Contact the team for the retention arrangements for your engagement or to request review of a record.
No online system can be guaranteed completely secure. If you accidentally share a credential, change it promptly and tell the support team which ticket or session is affected without repeating the secret.
Your requests and choices
Depending on applicable law, you may be able to request access, correction, deletion, restriction, objection or a portable copy of eligible personal information, and to raise a concern with a relevant authority. Where processing relies on consent, applicable rights to withdraw that consent remain available.
Email info@interstellarng.com with “Portal privacy request” in the subject. Describe the request and provide a ticket number if relevant. Do not attach identity documents unless the team asks for them through an appropriate channel.
The team may need to verify identity or coordinate with the client organisation before acting. Requests remain subject to applicable law, the relevant agreement and legitimate record-preservation requirements.
Updates to this notice
This version was prepared on the date shown above. Before a final notice is adopted, the business must confirm the remaining provider, retention and processing details. Material changes need an appropriate notice and, where required, a separate consent process.
